6 tips to make portrait day easier – for both employees and communications

When booking a day for employee portraits, it should ideally go smoothly. No unnecessary waiting time. No unusable images. And preferably without disrupting the day more than necessary. Here are six things that I personally focus on – and that many of my clients appreciate.

1. Create a plan – but keep it flexible

Having a clear schedule of who needs to be photographed and when makes everything easier. However, things always change. That's why we agree on the framework in advance – and I'm used to dealing with unexpected absences or meetings running over.

2. Inform your employees (and keep it brief)

Please emphasize that it's a portrait session, not a full production day. It only takes a few minutes, and the photos will be used internally and on platforms like LinkedIn. Many people feel more comfortable knowing that it's not about 'looking perfect,' but about appearing natural and professional.

3. Let go of the idea of perfection

The best pictures come about when you don't try too hard. I'll help you find the right expression and make sure the light and angle do their part. It's not about looking like someone else – but about looking like yourself, on a good day.

4. Get inspired by the surroundings

We don't need a studio setup. An office corner with calm lighting or a simple backdrop can be sufficient. This makes everything feel less staged and the images more useful.

5. Think ahead – not just about today

Once we've established a style, it's easy to replicate when new colleagues join. I save photos of the setup, ensuring consistent images over time. This saves you time and provides a unified look in your organization's communication.

6. We see the pictures right away

During the photography session, the camera is connected to a computer screen, allowing us to review the images together in real-time. This helps us quickly identify the best shots to focus on and make adjustments as needed. This streamlined process reduces the need for lengthy post-shoot approvals.
